Q. Phase I | "If the item is no longer in my room, because you removed it and issued me a new PC, Do I delete the item from my Excel?"
A. No. Please do not delete any items from you Fixed Assets Excel, Entered for 2022-2023 School Year. On Step 4 in your Phase I Guide, explains to enter "NA & to highlight the text in RED". NA, means the items is no longer in your room. Once I verify the item, then I'll delete the item from your Fixed Assets Excel Form.
Q. Phase I | "I can not find the serial number for the PC."
A. The serial number for Dell PCs is called "Service Tag or ST". Most of the time the label is on the top or back of the Dell PC
Q. Phase I | "What if I can't find a serial number for my CPU do I leave it blank and do I need to add the scanner and Library issued Laptop to the fixed assets spreadsheet?"
A. The serial number for Dell PCs is called "Service Tag or ST". Most of the time the label is on the top or back of the Dell PC. Yes, include the items that will be returned to our Librarian.
2022-23 Q&As
Q. Phase I | "If I have a tape recorder and it does not have a tag and it was not in my inventory last school year, What do I do?"
A. The serial number for Dell PCs is called "Service Tag or ST". Most of the time the label is on the top or back of the Dell PC. The Service Tag number is too small. It's possibly best to take a picture then zoom in, to see the Service Tag Number.
Q. Phase I | "I uploaded it to the public folder. On the instructions it said to email that form to the Warehouse Department, but I didn't see any email."
A. Do Not email the Transfer Form to Warehouse Department. We are using the Disposition/Transfer Form, for internal inventory. BISD Warehouse Department will visit Lopez ECHS and pickup the items. They will then complete their own forms.
Q. "How or who do we turn this form to? Also, if I want to return computers that I borrowed what do I do? I do not want to leave them in my room. I do not think I will need them next year anymore."
A. If you're turning in the Fixed Asset Form, the Phase I Guide PDF explains how to submit the Form. If you referring to the Obsoleted Items, the Phase II Guide PDF explains how to submit the form. If you borrowed computers from someone, then please contact that person and make arrangements to return them back. If the items were transferred to your room, then they go on your Fixed Assets Form. If the laptops are obsolete then include them in the Disposition/Transfer Form. If they’re not obsolete, then make plans with Neito-Library, to return them to the Library.
Phase II Q & A
Q. Phase II | "Morning, I cannot download the disposition for whiteboard removal. Thank you."
A. Click Here to download a copy of the Transfer From. The ONLY items mentioned in the Phase I Guide are for pickup are:
- PC
- Laptops
- Monitors
- Printers
- Scanners
- ANY BRAND
Whiteboard is not an item that will get picked up.
Q. Phase II | "Is this 2nd phase only for CPUs, monitors, printers, etc.? ...or can I request to obsolete additional items?"
A. Yes, the ONLY items mentioned in the Phase I Guide are:
- PC
- Laptops
- Monitors
- Printers
- Scanners
- ANY BRAND
Additional items will not get picked up. Once we complete Phase II, then we'll work with BISD Warehouse, to have the other items picked up.
Q. Phase II | "Sir, do we need to make a copy of the spread sheet to enter the data? I'm asking because it opens as a read only copy. Do I email a copy of the spreadsheet or put it in the public drive?"
A. Click Here to download a copy of the Disposition/Transfer Form. Once it's completed, then Print and Sign before we do the pick up. Beside Printing and Signing the Disposition/Transfer Form, Place a copy of your Disposition/Transfer Form in your PUBLIC Drive, for your records.
Q. Phase II | "Is "New Loc.: P116" a sample, if not what do I type in "New Loc."
A. As mentioned on the Phase II - Obsolete Items PDF: Leave This Section Alone. See Image below
Q. Phase II | "Who do I submit the Disposition Form and what do I do with the cow of computer?"
A. Place a copy of your Disposition/Transfer Form in the Public Folder, in the same folder as your Fixed Assets. Once the form is there, then I’ll verify it and go by your room to pick up the items. If all the devices in the COW are going to be obsoleted, then we'll pick it up with the other obsoleted items.
Please have your Disposition Form Printed and Signed. And verify the items match, on the Disposition Form.

Phase III Q & A
Q. Phase III | "I though the camera and projector belong to the library…Do they?."
A. They do, but we’re doing a complete Fixed Asset Inventory, for the Campus, by room.
Q. Phase III | "I don't have a folder for my classroom."
A. Please submit the Missing Room/Area/Office form: http://tiny.cc/fa-mia , as mentioned in the Phase I Guide.
This will notify me to create a folder for you, and I’ll have documentation of which rooms were created on the Public Folder for Fixed Assets.
Q. Phase III | "I don't understand why I was not cleared. I documented exactly what was in my room when I got here. The previous person who was here did not leave anything behind that is stated in his inventory list . There is nothing that needs to be removed. Please advise."
A. This means you did not submit the Completion Form, as mentioned in the Guide. This form will notify me that your file is ready for review, Otherwise I will never know you have completed your inventory.
When you have completed your Fixed Asset Inventory, then you have to submit the completion form, as mentioned in Phase I Guide:

Q. Phase III | "I completed my fixed assets the day you were in my office. Why did I receive and email that my fixed assets is incomplete?"
A. This means you did not submit the Completion Form, as mentioned in the Guide. This form will notify me that your file is ready for review, Otherwise I will never know you have completed your inventory.
When you have completed your Fixed Asset Inventory, then you have to submit the completion form, as mentioned in Phase I Guide:

Q. Phase III | "There was errors on my Fixed Assets Inventory List, which is the TAG Number and Serial Number?"
A. Exam

The Serial Number will say "Serial Number, SN, ST, or Service TAG#.
We need the BISD TAG# and Serial Number of all items.
Q. Phase III | "So, If my fixed assets list has not been renamed does that mean I have not been cleared? The guide does not say what to do if the list has not been renamed."
A. Correct. On this phase, you don’t have to submit anything. Just verify we have renamed your Fixed Assets Inventory using the following naming convention: room#-007-FA-email-NGDate. Basically, if we haven't renamed your Excel File, then we have not checked your inventory list and you're not cleared on our end.
Plus, we will notify you, by email, when we rename your Excel File.

Q. Phase III | "If the naming convention doesn't look like the sample on the Phase III Guide, then we are not cleared yet?"
A. Correct. On this phase, you don’t have to submit anything. Just verify we have renamed your Fixed Assets Inventory using the following naming convention: room#-007-FA-email-NGDate. Basically, if we haven't renamed your Excel File, then we have not checked your inventory list and you're not cleared on our end.
Q. Phase III | "If I completed Phase I in May, is there anything different that I have to to in Phase III."
A. No. If you have completed Phase I, then just verify we have renamed your Fixed Assets Inventory using the following naming convention: room#-007-FA-email-NGDate. Basically, if we haven't renamed your Excel File, then we have not checked your inventory list and you're not cleared on our end. When we verify your Fixed Asset Inventory List, and there are no errors, then we will email you that your file is ready.
